💳 Section 9
Payments & dues
Record money in and out, against invoices or in bulk for a contact.
- For one invoice or purchase: open its actions menu and click Add payment.
- For many at once: open the contact and click Pay / Receive payment. The window lists the unpaid invoices and any opening balance, ticked and filled oldest first up to the amount you enter. Untick a line, or enter more than is due, and the rest is kept as an advance for later.
- Choose the method and the account (cash, bank, etc.), add a reference and save.
See every payment in All Payments. Customers with overdue invoices appear on the dashboard and in the Aging report.
Ravi Traders owes three invoices: ₹5,000 (1 Sep), ₹3,000 (10 Sep) and ₹2,000 (20 Sep), ₹10,000 in total. They send ₹6,000. Open Ravi Traders, click Receive payment, enter 6,000 and save.
Result: the 1 Sep invoice is Paid, the 10 Sep invoice is Partial (₹2,000 still due), and the 20 Sep invoice is still Due. Ravi Traders now owes ₹4,000.
Send a reminder from the invoice's actions menu using your notification templates.
Post-dated cheques
Record a cheque payment with its cheque number, bank and cheque date. A cheque dated after the payment date is post-dated. It is held in "Post-dated Cheques Received" (or "Issued") and only reaches the bank when you clear it in the cheque register.
- The register lists cheques by due date. ZaleBee reminds you each morning of cheques due, and the daily summary lists them.
- Clear moves the money into the bank. Bounce takes the payment off again, so the invoice is due again. The cheque stays in the register as bounced.
- A payment edited later to a cheque with a later date becomes post-dated in the same way. The mobile app takes cheque payments too.
Cheque printing
Print your own bank cheques on any printer (laser, inkjet or all-in-one), with the amount in words written for you, a live preview, and every leaf of every cheque book tracked. Turn it on under Settings › Modules › Cheque Printing, then give roles the Cheque Printing permissions (view, print, manage).
- Bank Accounts: add the account your cheque book belongs to. Pick its bank from the built-in list (Indian and GCC banks, or add your own) and link it to a payment account in your books, or create a new one there.
- Cheque Books: enter the first leaf number and how many leaves. Each leaf is tracked separately.
- Cheque Layouts: start from the CTS-2010 layout (202 × 93 mm, most Indian bank cheques). Upload a scan of a blank cheque as the background and drag each detail into place. Print a Test print on plain paper and hold it against a cheque to check alignment.
- Printer Settings: save up to five combinations per user: paper (A4, Letter or a cheque-sized page), how the cheque goes in (horizontal or vertical; left, centre or right), and a fine offset in mm if your printer prints slightly off.
- Write Cheque: pick the payee, enter the amount and date, and press Save & Print. In the print dialog set scale to 100% / "Actual size" and turn headers and footers off.
| Payees | The payee box finds your customers and suppliers directly, followed by each contact's other cheque names and contact people, so there's no second list to keep. Add a payee only for someone who isn't a contact (landlord, tax office), or for another name a contact is paid under (e.g. its legal name). Payees can be imported from CSV; rows matching a contact's mobile or tax number are linked to it. A one-off name can simply be typed. |
| Amount in words | Lakh / crore or million / billion, the currency word before or after, paise / fils, and "Only" at the end. Options per layout: UPPERCASE, tamper-proof ** around the payee, words and figures, "/-" after the figures, and the date format (each digit in its own box on CTS cheques). |
| Languages | Each layout writes the amount in words in English, Hindi, Gujarati, Marathi or Arabic, e.g. पंद्रह हज़ार पाँच सौ बीस रुपये मात्र, પંદર હજાર પાંચ સો વીસ રૂપિયા પૂરા or فقط ثلاثة آلاف وخمسمائة ريال عماني لا غير. Choosing a language fills in its currency and "only" words; change them if your bank writes them differently. Arabic prints right to left. Payee names print in any script. |
| Back side | Under Back Templates, save the text to print on the reverse, with placeholders such as {payee}, {mobile}, {tax_number}, {bills} and {narration}, and where it goes. On a cheque's Back Side tab, pick a template, click Fill from template, edit if needed and Save & Print back side. A line whose placeholder is empty (no PAN, say) is left out. |
| Payment voucher | The Voucher tab prints an A5 or A4 voucher: payee, amount in figures and words, cheque and bank, the bills it pays, and boxes for prepared / checked / approved / received by. |
| Self, Hide, A/c Payee, Bearer | Tick SELF for a self cheque, HIDE to leave the payee, amount, date or an extra line blank, A/c Payee to print the crossing, and strike out "or Bearer". |
| Reprint and edit | Change a cheque and print it again as often as needed. Every print is logged with what went on paper, who printed it and when. A cheque spoiled in the printer is marked Missed and its details can go straight onto the next leaf. |
Tracking: each leaf goes Unused › Prepared › Signed › Issued › Cleared, or Returned (bounced), Stopped, Cancelled or Missed. Change it with Change on the cheque, with the date and a note such as the bounce reason. The Dashboard shows the count per status, upcoming and past-due cheques, and how much of each book is used. Cheques lists them all by status, bank account, book, date or payee, and exports to CSV.
Recording it in the books: when you mark a cheque Issued you can record it as a payment to the supplier (applied to the bills you tick, any rest kept as an advance) or as an expense, paid from the cheque book's payment account. A cheque dated later than that is post-dated: it waits in the cheque register until you mark it Cleared on either screen, and each screen follows the other. Marking it Returned, Stopped or Cancelled takes the payment off again, so the bill or expense is due again.
Once a cheque records a payment, its payee, amount and date can't be changed. Stop or cancel it, then write a new one.
Payments in a foreign currency
An invoice or purchase in a customer's or supplier's own currency (set the currency on the contact) shows that currency on the payment form. Enter the amount in that currency and today's rate. The payment settles the invoice at the rate it was booked at, and the difference goes to Exchange Gain/Loss. The mobile app does the same. Rates keep up to 8 decimals.
An invoice of 1,000 USD was booked at 80 (₹80,000). The customer pays 600 USD when the rate is 82. ₹48,000 of the invoice is settled (600 × 80), the bank receives ₹49,200, and ₹1,200 is a gain. 400 USD stays due.
