Products
Set up your catalogue once and use it everywhere: POS, sales, purchases and stock.

Before you add products
Create the building blocks under Products: Units (pcs, kg, box), Categories and sub-categories, Brands, Warranties, and Variations (e.g. Size: S, M, L).
A unit, brand or category that products still use can't be deleted. ZaleBee tells you how many products use it. Move those products to another one first. A category that has sub-categories is kept too. A warranty can be deleted unless products still offer it or sales have already given it.
Add a product
- Enter the name. Leave SKU blank to generate one automatically, or type your own / scan the barcode. Each SKU belongs to one product only. ZaleBee refuses an SKU that another product, or another size or colour, already uses.
- Pick the unit, category, brand and the locations where it's sold. All the locations you can use start selected. Remove any where the product isn't sold. A product with no location doesn't appear when you buy or sell.
- Tick Manage stock for physical goods. Untick it for services. Set an alert quantity for low-stock warnings.
- Choose the product type:
- Single: one price, e.g. a 1 L bottle of milk.
- Variable: sizes/colours, each with its own SKU and price.
- Combo: a bundle of other products sold together.
- Select the tax and whether prices are inclusive or exclusive of tax.
- Enter the purchase price and margin %. ZaleBee calculates the selling price, or you can type it.
- Click Save, or Save & add opening stock to enter current quantities.
| Type | Product | How it's set up |
|---|---|---|
| Single | Basmati Rice 1 kg | Purchase price ₹80, margin 25% → selling price ₹100 |
| Variable | Cotton T-shirt | Variation "Size": S, M, L – each with its own SKU, e.g. S ₹299, M ₹299, L ₹349 |
| Combo | Diwali Gift Box | 1 × Dry fruits 250 g + 1 × Sweets 500 g + 2 × Diyas, sold at ₹999. Selling one reduces the stock of each item inside. |
Tax inclusive or exclusive? If rice is ₹100 including 5% GST, the customer pays ₹100. If it's ₹100 excluding GST, the customer pays ₹105.
Selling electronics? Enable IMEI / serial number on the product to record serial numbers when you buy and sell it.
Duplicate (in the Products list) copies a product with the SKU left blank, so the copy gets a new SKU.
Opening stock
Opening stock is what you already had on the shelf when you started using ZaleBee. Its value goes into your books as Inventory (against Opening Balance Equity). This happens however you enter it: Save & add opening stock, Quick Add, Import Products or Import Opening Stock.
- Changing it later (e.g. 10 → 12) changes its value in the books too. Setting a row to 0 removes the stock and its value.
- Deleting a product whose opening stock was never sold also removes that stock's value from the books.
- Tax: if your business claims input tax credit (Business Settings), opening stock is valued without tax, because you already claimed that tax when you bought it. Otherwise it is valued with tax.
You enter 10 bottles of shampoo at ₹100 each, with 18% GST. A business that claims input tax credit carries them at ₹1,000. A business that doesn't claim carries them at ₹1,180.
Import many products at once
- Download the template file (CSV or Excel, both have the same columns) and fill one row per product, following the instructions on screen.
- Upload the file. If it's refused, ZaleBee says why (e.g. a missing column, or the row with a wrong value). Fix it and upload again.
- Then use Import Opening Stock to load your current quantities per location.
Prices for different customers
- Selling Price Group: create groups like Wholesale or Dealer, then set prices per group.
- Update Price: export prices to Excel, edit, and import them back to change many prices at once.
- Link a price group to a customer group or a location so the right price appears automatically.
Basmati Rice sells at ₹100 to walk-in customers. Create price group Wholesale and set rice to ₹92 in it. Put your shopkeeper customers in a customer group linked to Wholesale. When you bill one of them, ₹92 appears automatically.
Print barcode labels
Add products (or load all items of a purchase), set how many labels you need, choose what to print (name, price, barcode, expiry…) and the label sheet, then Preview and Print.
You received 24 bottles of a juice that has no barcode. In Print Labels, add the juice, enter 24 labels, tick Product name, Price and Barcode, and print. Stick them on the bottles. At the POS, scanning a label adds the juice to the bill.
Catalogs & offer flyers
Make a product catalog or a weekly offer flyer to share on WhatsApp, show on a screen in the shop, or print as a PDF.
- Details: a title, and if you like a subtitle, an introduction and a closing note (how to order, phone, opening hours).
- Design: pick a template: Modern grid, Elegant, Bold showcase (good on display screens), Minimal list (many items per page) or Offer flyer. You can use your own accent colour. Choose which prices to show (default selling price or a price group), and whether to show prices, SKUs and descriptions.
- Products: search by name or SKU, or filter by category or brand, and add products. Change their order with the arrows and add a note to any product.
- Tick Anyone with the link can open it to get a link you can share. Open the catalog to see it, switch to Screen mode, or Download PDF.
The Offer flyer template is a supermarket-style offer sheet. It has a few extra settings:
| Branch | The branch whose discounts set the offer prices. Its address prints in the footer. |
| Offer valid from / until | The offer period printed on the flyer. |
| Working hours | Printed in the footer, e.g. 8:00 AM - 12:00 AM, every day. |
| WhatsApp number, Google Maps link | Each prints as a QR code ("Scan for WhatsApp", "Scan for location"). A third QR code opens the catalog's public link. |
| Offer price (per product) | Type an offer price to show it as was/now with the saving %. Leave it blank to use the branch's active discount. A product with neither shows its normal price. |
A supermarket runs a 10% discount on all Almarai products at its Muscat branch, from Thursday to Sunday. It creates an Offer flyer, picks the Muscat branch, sets the offer dates, and adds the Almarai products plus rice with an offer price of 3.200 (normally 3.900). The flyer shows Almarai milk as was 0.500 / now 0.450 (save 10%) and rice as was 3.900 / now 3.200 (save 18%). The shop shares the link on WhatsApp and prints the one-page PDF for the notice board.
In the PDF, a currency symbol that can't be printed, such as the rial sign, is shown as the currency code (e.g. OMR).
