💸 Section 14
Expenses
Track rent, salaries, electricity and every other cost.
Expenses›Add Expense
- Create Expense Categories first (Rent, Salary, Utilities…).
- Add an expense: location, category, date, amount, tax and a note. Attach the bill if you like.
- Record the payment, or leave it due. Tick recurring for regular costs like rent.
Expenses flow into the Profit & Loss and Expense report automatically.
- Edit an expense to correct its date, amount, tax or category. Choosing None as the tax removes the tax, including the input tax credit.
- An expense can't be paid more than its total, and its total can't be lowered below what is already paid. To pay a supplier in advance, use Contacts › Pay.
- If the books are locked (period locking), an expense dated in the locked period can't be added, edited or deleted, and an expense can't be moved into it.
- Import expense (in the Expenses menu) uploads many expenses from Excel, with the same tax, cost centre and approval rules as Add Expense. Leave the paid amount at 0 or blank for unpaid expenses. ZaleBee checks every row first. If any row is wrong (unknown tax name, paid more than the total, a date in a locked period…), nothing is imported and it tells you which row to fix.
- Search the Expenses list by supplier or contact name.
Monthly shop rent
Add an expense: category Rent, location Main Store, amount ₹25,000, paid from the bank account, and tick recurring every 1 month. ZaleBee adds the rent expense automatically each month, so your profit is always correct.
