📇 Section 6

Customers & suppliers

One place for everyone you buy from and sell to, with their full transaction history and balance.

Add a contact

Contacts›CustomersorSuppliers
  1. Click Add and choose the type: Customer, Supplier, or Both.
  2. Enter the name, mobile number, email, address and tax number (GSTIN).
  3. Set pay terms (e.g. 30 days) and a credit limit if you sell on credit.
  4. Enter any opening balance owed from before you started using ZaleBee.
A shop that buys on credit

Ravi Traders buys from you every week and pays monthly. Add them as a Customer with pay terms 30 days and credit limit ₹50,000. They already owed you ₹8,000 from your old books, so enter ₹8,000 as the opening balance.

ZaleBee now warns you if a new sale would take them above ₹50,000, and marks invoices overdue after 30 days.

Useful extras

  • Customer groups: give a group a discount % or a price group.
  • Import contacts: upload customers and suppliers from Excel.
  • Map: see your contacts plotted on a map, useful for planning visits and deliveries.
  • Open a contact to see their ledger, sales, purchases, payments, documents and notes, and to send a statement.

Loyalty tiers, birthday & referral points

Settings›Business Settings›Reward point

With reward points on, the Loyalty tiers card adds:

  • Tiers, e.g. Silver from ₹10,000, Gold from ₹50,000. A customer's tier comes from what they spent (sales less returns) over the last months you set, and is updated every night. Each tier's multiplier scales the points a sale earns: 1.5 gives half as many again.
  • Birthday points on the customer's date of birth, once a year, with a birthday message on WhatsApp when the WhatsApp API is set up.
  • Referral points to the customer who referred a new one, once the new customer buys. Set Referred by on the new customer's form.

Customer 360

Contacts›Customers›View›Customer 360

One page for a customer: what they spent and how often, their average bill, when they last came and whether they're overdue for a visit (churn risk), the products they buy most, their tier and points, who they referred, what they owe, and their feedback.

Customer feedback

CRM›Customer feedback

Put the {feedback_link} tag in the New Sale notification template. The customer gets a link after a sale and rates you from 0 to 10 with a comment, no login needed. The page shows the answers, the average and your NPS (% promoters scoring 9-10, less % detractors scoring 0-6).

Customer portal

Contacts›Customers›open one›Customer portal

Give a customer their own page: what they owe or have paid in advance, their invoices (each opens as a printable invoice), payments, open quotations, credit notes and gift cards they can still spend, and their reward points. There is no password; the page opens from a private link.

  1. Press Customer portal on the customer's page. The link is made the first time.
  2. Send it with WhatsApp or Email, or copy it.
  3. If the link reached the wrong person, press New link (the old one stops working) or Stop link.
A hotel that pays monthly

Star Hotel asks what it owes. Instead of sending a statement each time, you send its portal link once. Whenever they open it they see ₹8,600 due, the three unpaid invoices, and last month's payments, always up to date.

ℹ️

Invoice links you share (from the portal, the sales list or a WhatsApp/email notification) open for the customer without logging in, showing the same invoice you print.
