Why your POS must keep billing when the internet drops

A cloud POS is convenient until the Wi-Fi goes down on a Saturday. Here is what “offline mode” should really mean, and the questions to ask before you choose a till.

Cloud POS systems are a huge step forward: stock updates instantly across branches, the owner sees sales from anywhere, and there is no server in the back room. But they all share one weakness. When the internet goes, many of them stop.

For a busy shop, ten minutes without billing means a queue out of the door, handwritten bills that never make it into the books, and customers who don’t come back.

What “offline mode” should actually do

Not all offline modes are equal. A good one should:

  • Keep taking sales, at least cash and card, with no change for the cashier.
  • Print the receipt as normal.
  • Save each sale safely on the till until the connection is back.
  • Sync automatically, without anyone pressing a button.
  • Keep the original time of each sale, so shift and daily reports stay right.
  • Never record a sale twice, even if the connection flickers during sync.
  • Let you find and add customers without a connection.

Questions to ask before you choose a POS

  1. Which payment types work offline?
  2. What happens to invoice numbers for offline sales?
  3. How does the system prevent duplicates when it syncs?
  4. Can cashiers search customers and products offline?
  5. How quickly do price and stock changes reach each till?

Test it before you need it

Whatever system you use, run a fire drill: unplug the router during a quiet hour, make a few sales, plug it back in and check that every sale arrived once, with the right time.

ZaleBee’s offline POS saves cash and card sales on the till with a printed receipt, then syncs them automatically when you are back online, keeping their time and assigning invoice numbers, never twice.
