Stop typing supplier bills: how AI invoice scanning works
Typing supplier invoices line by line is slow and error-prone. Here is how AI invoice scanning reads a bill and what to check before you save.
In this article
A busy shop receives dozens of supplier invoices a week. Each one has to be typed into the system: supplier, invoice number, date, every item, quantity and price. It takes time, and every typo shows up later as wrong stock or a wrong payment.
What AI invoice scanning does
You take a photo of the bill (or upload the PDF the supplier sent). The scanner reads the document and fills in the purchase for you:
- supplier name;
- invoice number and date;
- each line: item, quantity, price;
- totals.
The items are matched to products you already have, so stock and supplier dues update when you save.
Choosing the right engine
Simple, clearly printed bills are easy to read and a basic scanning engine is enough. Complex layouts, bilingual invoices (for example Arabic and English) and handwritten bills need a more advanced AI engine. In ZaleBee you can choose, and see your monthly usage in settings.
Always review before you save
- Check the supplier and invoice number (to avoid entering the same bill twice).
- Glance at quantities and unit prices against the paper.
- Confirm any new products the scanner could not match.
- Check the total and tax.
Reviewing takes seconds; typing took minutes. That difference, every day, is the point.
Tips for better scans
- Photograph the bill flat, in good light, filling the frame.
- Prefer the supplier’s PDF when they email one.
- Keep product names consistent so matching improves.
